As an account administrator or bookkeeper, you can create rules that automatically make custom field selections for any transaction made at a specific merchant.
You can also prioritize all your merchant rules to manage which rule Spend Center applies first if there are multiple rules that apply to the same transaction.
Note: Automation rules are not retroactive and will only apply to new transactions moving forward.
Create rule from a web browser
In the Navigation Menu, select Settings
Select Transactions
Select Automation rules
Select Add new rule
Automated merchant rules can trigger if the merchant name either exactly matches a term or contains a term. For example, if you enter the term “Spend”, you can set the rule to apply if the merchant name is exactly Spend or if the merchant name includes Spend anywhere in the name, such as Spend.com, Spend, Inc., etc.
To create a merchant rule that must exactly match your entered term, select Equals
To create a merchant rule that must contain your entered term, select Contains (This option is recommended for broader matching.)
In the Merchant name field, enter the name of the merchant that will be used to match the selected Equals or Contains condition.
In the Make These Field Selections section, view your account's custom fields.
Make any field selections that you would like to be automatically applied for transactions that match merchant criteria
To save the automated merchant rule, select Create rule
Your new rule displays in the Merchant Rules tab.
You can prioritize merchant rules so Spend Center will apply higher priority rules before lower priority rules. For example, you may want to give a higher priority to a rule that exactly matches a merchant name over a rule that contains the same merchant name.
To adjust the priority for a rule, select the Priority field for the rule and enter the number that represents how you want the rule prioritized.
Create rule from the mobile app
In the Navigation Menu, tap More
Tap Automation rules
Tap +New
Tap Merchant rule

To create a merchant rule that must contain your entered term, tap Contains
Then enter the name of the merchant in the Merchant Name field
Make any field selections that you would like to be automatically applied for transactions that match merchant criteria
To save your merchant rule, tap Save
