How do I use the Reimbursements page as an admin or bookkeeper?

Learn how to view reimbursements in your account and customize how the information displays in the Reimbursements page.

This article describes how to use the Reimbursements page in Spend Center from a web browser. Admins and bookkeepers can use the Reimbursements page to view, filter, and export reimbursements.

Open & View Reimbursements Page

  1. To open the Reimbursements page, click the Reimbursements link in the Navigation menu.

  2. Reimbursements in your account display in the Reimbursements table.

  3. To search for a reimbursement, enter the submitter name, merchant, or other term in the Search field.

  4. To create a new reimbursement request, click the New Reimbursement button.

Customize Column Settings

Follow these steps to customize the columns that display in the Reimbursements table.

  1. To open column settings, click the Column icon.

  2. To add or remove a column, click the checkbox for the column option. Columns that display the Lock icon cannot be removed. Locked columns include Amount, Batch ID, Merchant/Mileage, Name, Submitted Date, Status. Additional column options include Approval Date, Batch Amount, Pay Method, Purchase Date, Receipt, and all custom fields in your account.

  3. By default, column settings display all active custom fields in your account. To display retired custom fields, scroll to the bottom of the settings to find the Retired Fields section and click the Show toggle button.

Filter Reimbursements

  1. To filter the data displayed in the Reimbursements page, click the Add Filter link.

  2. You can filter by purchased date, submitted date, amount, status, name, reimbursement type (mileage or merchant), and payment method.

  3. To clear your filters, click the Clear Filters link.

  4. To apply your filters, click the Done button.

View Status Filters

You can also quickly filter the information in the Reimbursements table by using the Status filter buttons. You can view reimbursements with a status of Admin Approval, Ready to Pay, Payment Pending, and Paid.

  1. To filter the Reimbursement page by status, click the button for that status.

  2. To remove the filter and view all reimbursements, click the Remove icon.

Open Reimbursement Requests

  1. To view a reimbursement request, click the name of the request.

  2. If you have permission to review reimbursement requests, you can also approve or deny multiple requests by clicking the checkboxes next to the requests you want to view and clicking the Bulk Actions button.

Export Reimbursement Data

To export reimbursements as a CSV file, click the Export icon.

Mark as Synced

If you are an admin, you can mark reimbursements as synced or remove the synced status.

  1. Select the checkbox for each reimbursement you want to mark as synced.

  2. Click the Bulk Actions button and select the Mark as synced option.

  3. To remove the synced status from any reimbursements, select the checkbox for each reimbursement where you want the status removed.

  4. Click the Bulk Actions button and select the Remove synced option.
